Department of National Personnel Records Introduces WhatsApp, Email Service for Salary Income Records

Kathmandu. The Department of National Personnel Records has begun providing salary income records through WhatsApp and email following a surge in service requests.
The move aims to manage office crowds and make services more accessible through a “faceless” model that allows users to obtain documents without visiting the department in person.
The increased demand comes after the Commission for the Investigation of Abuse of Authority published a notice on May 14, 2026, requiring former prime ministers, former ministers, joint secretaries or equivalent officials, and heads of offices who have held public positions since 2062 BS to submit their asset details within one month.
According to Director General Shravan Kumar Pokharel, service recipients can now obtain salary income records from home through the department's Digital Document Access Service.
How to Access the Service
To receive documents via WhatsApp, service seekers must send their name, designation and code number to the department's WhatsApp number, 9714499240. For security and confidentiality reasons, documents sent through WhatsApp are automatically deleted after 24 hours.
Pokharel said department employees have been working even during public holidays under a work-from-home arrangement to manage the increased workload.
“Due to high demand, documents may not always be delivered within 24 hours. In such cases, service seekers can send a follow-up message as a reminder,” he said.
The department is also providing the service through email. Applicants can request their records by sending their name, designation and code number to [email protected].
As email records remain accessible and secure for future reference, the department has encouraged users to prioritize email requests over WhatsApp.
The department has also advised service seekers to verify the information received, noting that minor technical errors may occasionally occur.
In addition, detailed information on positions, salary scales and grades dating back to 2017 BS is available under the “Salary and Grade Sheet” section on the Department of National Personnel Records website. Employees can also use the salary calculator available on the website to estimate their earnings.
The new arrangement eliminates the need for serving and retired senior employees from across the country to travel to Kathmandu to obtain salary income records.
